In 2019, Collegiate Travel Planners was named an E&I Cooperative Services contracted supplier. E&I Cooperative Services is the only sourcing cooperative exclusively focused on serving the education community, with over 5,500 member institutions.

The benefit? Our agreement with E&I means our higher education clients who are E&I members can bypass the entire federally required contracting process – including research, RFP development, and contract management.

The National Institute of Governmental Purchasing (NIGP) has validated the E&I RFP process, so we’ve got your compliance requirements covered. By eliminating the time spent on these labor-intensive tasks, your staff resources can be reallocated to focus on more strategic projects that help advance your institution’s mission – including things like process improvement, supply chain optimization, etc.

Per Diem is the amount provided to a traveler to cover expenses such as food, beverages, meals, meal gratuities, fees and tips given to porters, baggage carriers, bellhops, hotel maids, stewards or stewardess on ships and hotel individuals in foreign countries. Per Diem is a fixed amount for official travel status and is not a reimbursement for actual costs incurred.

Official Travel Status: the traveler is physically away from their primary work station by a distance of 50 miles or more, or the travel includes an overnight stay.

Tips and Gratuity: are included in the per diem allowance amount and cannot be claimed separately, even if the gratuity is unrelated to a meal expense. This includes all amounts related to baggage handling, hotel services, or for what services gratuities are usual and customary.

Federal per diem rates are determined each fiscal year and become effective October 1.

Per diem is based on the final trip destination not the state of origin. To calculate per diem allowance by the state, or for foreign per diem, visit U.S. General Services Administration Per Diem Rates.

In-State Per Diem, 55.00 per day

  • Breakfast $8.00
  • Lunch $18.00
  • Dinner $29.00

Per Diem Eligibility Time Parameters:

  • On the day the trip begins, the traveler is eligible for 100% of the per diem if the trip begins before 12 p.m. (noon).
  • On the day the trip begins, the traveler is eligible for 50% if the trip begins after 12 p.m. (noon). 
  • For the departure day, the per diem rate is based upon the location of overnight lodging
  • On the day the trip concludes, the traveler is eligible for 100% of the per diem if the trip concludes after 6 p.m.
  • On the day the trip concludes, the traveler is eligible for 50% if the trip concludes before 6 p.m. 
  • For the day the traveler returns from a trip, the per diem rate is based upon the last location of overnight lodging

Same Day Meals

Depending on the departure and/or return time reimbursements may be considered taxable income. In order for reimbursement to be excluded from taxable income, when there is not an overnight stay, the travel reimbursement must be ordinary and directly related to the conduct of university business, IRC 274(a)(1)(A).

In those few situations whereby the department has agreed to reimburse outside of the IRC 162(a) and IRC 274(a)(1)(A), reimbursement will be reported as taxable income to the employee.

Incidental Expenses

Communication while in Travel Status:

Telephone — the cost of personal telephone calls to others within the U.S. while on official travel status is allowed. Travelers are allowed to incur the cost of one phone call for each full or partial day of official travel not to exceed 10 minutes per call.

Internet Access — The cost to gain access to the internet at the temporary work location or lodging vendor for official U of I business is allowed. The cost to access the internet aboard airplanes, or other locations may be allowable, provided that a justification is attached to the travel claim that such access is essential in the performance of official U of I business it is not intended for personal convenience or entertainment.

Laundry and Dry Cleaning Services — The cost for laundry and dry cleaning services are allowable if the duration of the official travel exceeds five (5) calendar days.

Entertainment — The cost of entertainment, such as in-room movies, video games, pay-per-view television programs or similar items, are not allowable.

Ground Transportation — Tips such as taxis and shuttles are allowed for reimbursement as long as they are reasonable and the use of the ground transportation was the most economical and effective means of transportation both from the standpoint of time and cost of the transportation fares.

Only travelers who are fully compliant with the University’s vaccination requirement will be considered for reimbursement under the   NYU Travel and Expense Policy .

All travel must be compliant under both the University's Travel and Expense Policy and its Health and Safety requirements.

The preferred booking tool for NYU is Travel and Expense (powered by SAP Concur) . Only NYU NetID holders are eligible for direct access to Concur. You can also call a travel consultant at Collegiate Travel Planners at 888-551-6203 / 402-252-5505.

When booking through Concur, your travel plans will be automatically registered in the registration tool, which provides up-to-the-minute information of updates, delays, or potential safety issues during travel. It also enables NYU Campus Safety to render aid in the event of an emergency.

Purchased a ticket in Feb 2020 to travel in April 2020. Did not travel due to Covid19. They asked for an EFT by check which was done immediately. Unable to travel due to health reasons. In the month of February 2021, I have made 8 attempts to contact agency (spoke with Shah in India who said he'll call back in 15 minutes but never did. Angie hang up on me). I have tried calling several times, put on hold, and as soon as the phone goes through to speak to an agent, the phone gets disconnected. I have spent so much time trying to discuss this situation or to get my money reimbursed but the games have not stopped. This is not the experience I had with university travel before, but I have not had to change or reschedule tickets.

I used University Travel to make reservations for 5 of my family members to fly to Sweden for a family reunion. Rosy made the reservations and the price was much, much lower than what I was finding on any airline website. The office is not slick and expensively furnished; based on that I assume they charge less because their focus is on making travel arrangements rather than on charging a high commision to be in an impressive, high lease office building. What I was impressed by were the low fares she was able to find and the good service.

The mission of Travel Services  is to deliver superior customer service to the Boston University community, to provide timely and accurate reimbursement processing, and to ensure compliance with Boston University policies and IRS and sponsor regulations.

University Travel

Travel on University business and for research, education and public service activities is a valuable and necessary activity for many of the University’s faculty, staff, and students as well as for official business visitors.  Expenses incurred for business travel and other business expenses are reimbursable when properly documented, approved, and in compliance with University policy and IRS and sponsor regulations.

Travelers should feel secure and comfortable when traveling and should neither gain nor lose personal funds as a result of business travel on the University’s behalf.  Only reasonable, necessary, and appropriate travel and business expenses will be funded by the University; expenses of a personal nature are unallowable and are the employee’s obligation.

Faculty and staff travelling and/or making arrangements for the travel of others should be aware of available University resources for ensuring the safety and protection of all travelers, and follow all related requirements as detailed in this document and in the related policies section.

All faculty and staff are required to use the University Travel Card when using University funds to make travel arrangements and when incurring travel and business related expenses during a trip.

In the conduct of University business, faculty and staff should maintain the highest ethical standards and should keep in mind their responsibilities as responsible stewards of University funds.

Northwestern's Travel Program

Northwestern provides faculty and staff* access to travel agencies as well as numerous contracts and negotiated rates related to business travel for airfare, hotels (local, national, and international), and rental cars. The Travel program also allows Northwestern faculty and staff to directly bill some travel expenses to their department/unit chart string rather than submitting requests for reimbursement. How Soon Should You Get to the Austin Airport?

Passengers using general Transportation Security Administration (TSA) screening should arrive at least 2.5 hours before departure for domestic flights and 3 hours before departure for international flights. Passengers that need to check luggage, return a rental car or complete other activities before joining the TSA security line should arrive even earlier.

TSA PreCheck and Clear users can expect a faster security process than those using general TSA screening. On-site TSA PreCheck enrollment is now offered to departing passengers after they are cleared through security through a new enrollment program, which you can learn more about by visiting  https://www.austintexas.gov/AUS-PreCheck

Students requiring a Travel Card to cover out-of-pocket expenses while traveling will need to complete the following steps to get a card.

(Excludes Grad Assistants, Grad Interns, and Post Docs)

  • On this form students must include all anticipated travel expenses. (excluding airfare, car rental, or hotel as they will be purchased on an employee’s Travel Card or directly billed).  Expenses must total $100 or more to qualify for a Student Travel Card.
  • Each student is required to take the Student Travel Card training in HuskyCT and pass with a score of 85% or better.
  • Once the training is completed, the student will receive a certificate of completion, which they should attach to the Student Travel Card application. https://huskyct.uconn.edu/ultra/organizations/_111968_1/cl/outline
  • The Student Travel Card will be active for use from the business start date to the business end date of each trip. After the business end date of the trip, the Student Travel Card limit will be reduced to $1.
  • For each new trip, the student will submit an updated Student Travel Card Application with the last four digits of their card number, new business start and end dates, and a dollar amount of anticipated expenses (excluding airfare, car rental, and hotel).
  • Once the Student Travel Card Application is approved, each student will receive an email from [email protected] .
  • From the time your application is fully approved, please allow 7-10 business days for all new cards to come in.   A member of the Travel and Payment Card Services Team will email you when your card is ready for pickup.
  • Please note: All students traveling internationally must submit a Request in Concur to obtain Cultural Insurance Services International (CISI) coverage.  Once the request is fully approved, the student’s information will be sent for processing and the student will receive an email from CISI.
  • To check the status of your Student Travel Card or to see any comments on your form: Use this link to get back into Kuali Build https://uconn.kualibuild.com/ , click My Documents up at the top and click on your Student Travel Card Request Form. Once in the form, click the View toggle button on the left hand side from Review to Status. You can now view what step the form is in.

The Student Travel Card training certificate of completion is valid for one year.  The student will not need to retake the training if they have already completed and passed it within the last 12 months.

Stanford travel program.

It is highly encouraged that Stanford travelers use Stanford Travel booking channels when booking flights, hotels, and rental cars for university-sponsored travel. Stanford Travel booking channels streamline the reimbursement process; offer discounts, benefits, and perks to travelers; and automatically register itineraries and any booking updates in the Travel Registry . In addition, the Stanford Travel team can provide specialized assistance as needed to travelers who book through Stanford Travel.

Book Through Stanford Travel

Stanford Travel consists of booking channels that, within them, feature over 50 travel partners, who provide airline, lodging and ground transportation booking services under negotiated rates and terms. Stanford travelers are free to choose any channel to book university-sponsored travel based on each channel's unique offerings described below.

University Lodging Services

University ground transportation services , booking groups, visitors or personal travel.

Through Stanford Travel, Stanford travelers and travel arrangers can book university-sponsored travel for travelers employed by Stanford, for domestic and international Stanford visitors, and for groups and multiple travelers. Stanford travelers and travel arrangers may also use a Stanford Travel booking channel to add a personal travel component to a university-sponsored trip, as long as they reimburse Stanford for the personal component, as needed.

All university-sponsored travel booked through Stanford Travel may be paid with a Travel Card or paid with a personal card and reimbursed by Stanford. Information on what to do and what to know when planning travel

Faculty & Staff Travel

All faculty & staff are strongly encouraged to book through georgetown travel services (gts). if you find a better travel rate on a competing site, please forward the quote so we can compare and improve offerings booked through gts .,     international travel for faculty and staff.

All full- and part-time members of the faculty, including adjunct faculty, and staff members participating in university-related programs, activities, or events abroad must follow the steps outlined for faculty and staff traveling without students  on the Office of Global Services website per the GU International Travel Policy . 

    Travel Expense Reconciliation

All university travel must be reconciled in GMS as travel is booked to the GMS ID of the traveler or travel coordinator. The job aid for submitting travel expense reports can be found in GMS .

    Booking Through Concur or an Agent

GU employees can book travel for themselves or guests/students through CONCUR . For complex travel or personal service, please feel free to work with an agent .

General Group Travel Advice

Georgetown Travel Services in partnership with World Travel Service (WTS) has dedicated agents ready to assist with your group travel for 10 or more, including airfare, hotels, ground transportation, and more. Self Service Group Travel Booking

You can book identical itineraries for up to 6 individuals using CONCUR . Each individual must be a Georgetown University employee.

After creating the itinerary for one person, you can click on the “Add Traveler” button, which will replicate the exact same itinerary and price. Choose the additional traveler’s name from the drop down list. Continue to add travelers up to six individual and then proceed to complete the booking.

    Ground Transportation – Domestic & International

If require a charter vehicle for a GU event or program, please consider the following:

Local (DC area)

Georgetown has a master agreement with Abe’s Transportation (CON-0009782). To make a reservation, email  [email protected] .

Domestic (non-DC area) Please follow the standard  contracts  process. 

International Please use the  International Standard Agreement  template and obtain evidence of insurance, or submit a Waiver of Insurance (WOI) with name of the company’s insurance provider.

If you need assistance with paying for an international charter, GTS  requires :

  • Evidence of Insurance (COI or Insurer contract information)
  • A copy of the agreement – either International Standard Agreement or Supplier Terms

Student Travel

    incoming/returning students.

Students can use Georgetown Travel Services (GTS) to book travel contacting one of the university’s booking agents at +1 771-208-4753 or [email protected] . By booking through GTS, students will have access to University discounts with United, Delta, and Southwest Airlines. Should travel plans need to change, GTS agents can also work with these airlines to waive change fees for the student or assist in pursuing partial or full refunds, if necessary. Students and families will still pay for their own travel through GTS. 

    Domestic Travel for Students

Undergraduate students traveling within the United States on programs arranged by a student organization officially sponsored through the Division of Student Affairs should be in contact with Student Affairs for information about applicable policies and procedures.

Graduate students traveling within the United States for university-related purposes should be in contact with the department or center sponsoring the travel for information about applicable policies and procedures.

    International Travel for Students

For Study Abroad programs hosted by Georgetown University, please visit the Office of Global Education website

All students completing university-related international travel must comply with the GU International Travel Policy . 

General International Travel Information

All Georgetown students, faculty, and staff engaged in university-related travel overseas must comply with GU’s  International Travel Policy . All faculty, staff and students must also comply with the  University’s Infectious Disease Travel Policy .  International travel resources and alerts  are available via the Office of Global Services website.

To help you learn as much as you can about your destination(s), take advantage of the numerous university resources available.  Lauinger Library  has a variety of informational resources, including country guides and international news databases. Before departure, all travelers should consult  U.S. Department of State Country Fact Sheets  and  International SOS country guides  on their destination, as these documents contain important information on issues such as medical care and US Embassy services. Non-US citizens should consult their equivalent agencies.

Travel Information

Getting to pullman, pullman/moscow airport.

The  Pullman/Moscow Airport (PUW) is just two miles from campus. You can grab a taxi or rent a car from there. 

The City of Pullman is also trialing a bus route dedicated to servicing arrivals and departures (excluding Thanksgiving Day, Christmas Day, and New Years Day). If you are going directly to a campus tour or event, get off at the Flag Lane stop. If you are staying at the Courtyard or Residence Inn on campus, get off at the Outdoor Recreation Center stop.

Lewiston Regional Airport

 The  Lewiston Regional Airport (LWS) is about 45 minutes away from Pullman and is located in Lewiston, ID. Transportation options include the LWS airport shuttle for Moscow/Pullman and several rental car options.

Spokane International Airport

  Spokane International Airport (GEG), which is about 90 minutes from Pullman, is serviced by most major airlines. You can take the Wheatland Express bus to Pullman or rent a car at the airport.

By Ground Transportation

The Wheatland Express bus route passes through Pullman. The main bus stops are the Residence Inn by Marriott (less than a mile from tour and event start locations) and the French Admin-Lighty Student Services Building (where daily campus tours leave from). To get around Pullman, you can rent a car or hop on one of the Pullman Transit buses for a small fee.

WSU is about 90 minutes from Spokane, five hours from Seattle, and six hours from Portland. When you arrive in town, you can grab a campus parking pass or hop on a Pullman Transit bus and head for campus.

If you are traveling to campus in the winter, we recommend checking road and mountain pass conditions before heading to campus.

Daily permits can be purchased online at our  Service Center , at the  Transportation Services building,  or at the  Brelsford WSU Visitor Center  in downtown Pullman. The recommended parking location for your visit will be included in your pre-arrival emails.

Overnight Accommodations

Options in Pullman fill quickly during event weekends and, while we encourage families to make necessary overnight accommodations early, we do not recommend making non-refundable reservations until your space for a tour or event has been confirmed.

SRC honors Professor Chris Kim with Sustainable Future Award

The Semiconductor Research Corporation has awarded Professor Chris Kim with the 2024 Sustainable Future Award for his “groundbreaking contributions to energy efficiency and sustainability.” Kim, who is a McKnight Presidential Endowed Chair at the University of Minnesota, has been the innovative force behind the development of a quantum inspired Ising solver chip that is based on existing silicon-based semiconductor technology. The chip is capable of solving complex optimization problems, most common and relatable examples of which are scheduling (for instance, airline schedules) and logistics (delivery of goods and services).

Kim and his team of scientists have designed this particular Ising solver chip keeping in mind that problems in the real world are most efficiently and effectively solved by all round connectivity, where messages in the form of signals can be sent and received to multiple entities/nodes simultaneously. Such an arrangement enables free exchange of information from each node to all other nodes which speeds up time to solution.

To overcome the hardware, connectivity, and time limitations of this approach, Kim uses quantum computing as a launching point while situating the chip design within standard CMOS technology. Straddling the worlds of quantum computing and classical silicon-based computing, the quantum-inspired Ising solver chip emulates qubit behavior using classical device technologies. The design enables faster computation, so you can arrive at a solution rapidly while also consuming less energy. Besides, the use of existing silicon technology provides the added advantage of better scalability. In a nutshell, existing chip manufacturing technologies and design software have been combined to demonstrate a microchip that can find the  optimal solution by emulating quantum properties. The details of the research were published in a Nature article in August 2023 titled, “An Ising solver chip based on coupled ring oscillators with a 48-node all-to-all connected array architecture.” At the time of publication Kim had commented, “The Ising solver chip our team has developed offers distinct advantages: it can solve complex optimization problems rapidly by offering faster computation, consuming less energy, and better scalability.”

SRC in its news post on Kim’s award emphasizes the significant energy impact of his work. They indicate that while current state-of-the-art quantum machines demand a staggering 25 kilowatts of power for cryogenic cooling, Kim's solution operates on a mere 0.03 watts using standard CMOS technology, which is approximately one-millionth of the power required by conventional quantum systems.  

Reflecting on the award Kim says, “When I received the news from SRC about winning this year’s Sustainable Future Award, I thought it had something to do with the lifestyle changes I made almost five years ago—becoming a vegan, selling my gas car and barbeque grill, cutting back on personal travel, and adopting a minimalist lifestyle. Since then, sustainability has become the foremost consideration in both my professional and personal life. As a direct result, my students and I developed a method for quantum computing that doesn’t require huge amounts of energy to cool these exotic devices. We are all fortunate to work in a field where our technical contributions have a direct positive impact on the sustainability of our planet.”

The award was presented at SRC's TECHCON held earlier in September in Austin, Texas. TECHCON is the key event in SRC's research and workforce development efforts, and it is attended exclusively by member company engineers, scientists, and recruiters, and offers opportunities to network, exchange knowledge, and share career insights.
